Payment

All payments must be made in Japanese Yen (JPY) by credit card through Online Reservation. Neither checks nor cash are accepted.

Total amount will be charged after the deadline (July 31, 2017 for Early Reg.) For Late period, total amount will be charged within 5 working days after registration is received.

Confirmation

Attendees will receive a confirmation by e-mail if payment is received in full in the end of August. Please present this confirmation at the conference venue as proof of your registration.

 

Change / Cancellation / Refund Policy

Your registration and/or other option is changeable online until 17:00, July 31, 2017 (JST).

After that, any change or cancellation must be made in writing to SISPAD registration desk by e-mail (sispad2017@or.knt.co.jp) to avoid any trouble.

 

Until 17:00, July 31: Please re-login the Registration Online with your ID and Password to make any change or cancellation.

On and after August 1: Please send us a written notice by e-mail at sispad2017@or.knt.co.jp

 

The date and time of the change and cancellation will be based on the working hours (Monday through Friday 9:30 – 17:30 [Japan time] except the national holidays). After working hours, cancellation will be made next working day, which may incur charges.

Insurance

Please note that it is the responsibility of all attendees to take out full insurance to cover all expenses, including registration fee, in the event that they are unable to travel for any reason.

 -You must have a valid email address in order to apply online registration. All communication with regard to your registration will be sent via e-mail.
-After submitting the online registration, you will receive an e-mail confirmation that your registration is successful. However, please note that your registration will not be completed until you receive an e-mail after your payment is made.

 

Reservation for the hotel can be made on online upon the agreement with 1 and 2, reading 3 below.

 

 1. Information related to the hotel reservation will be all announced on this website. There will be no brochures or other items (instructions, contracts, etc.) sent through post.

 

 2. Kinki Nippon Tourist Co., Ltd and commissioned companies shall use personal information entered Online Registration submitted for an application to contact a client, and to the extent necessary for arranging and providing services for which the client has applied. Kinki Nippon Tourist Co., Ltd. shall share parts or all of personal data to transportation and accommodation facilities as well as representatives to the extent necessary to arrange services.

1. Who need to obtain a visa? & What documents will be required?

 

Attendees should check the website of Ministry of Foreign Affairs of Japan if they need to get a visa in order to enter Japan and what documents you need to prepare for.

  • Since it takes time for obtaining visa, we suggest you to contact the Japanese Embassy/Consulate-General with jurisdiction over your place of residence immediately to make sure what you need to prepare for.
  • It may take 4 weeks for the documents to reach you after you complete the online application. (7-14 days for the documents’ preparation and 10-14 days for sending documents.)

 

 

2. Documents prepared by inviting person/guarantor in Japan

 

On behalf of inviting person / guarantor in Japan, Kinki Nippon Tourist Co., Ltd. (KNT) will send you the following documents:

 

-Letter of guarantee

-Letter of reason for invitation

-Schedule of stay

-Certificate of enrollment of Inviting Person

 

 

3. Apply for Visa documents

 

Applying for visa documents can be made online at “Visa Application”. After submitting the online application, you will receive an e-mail confirmation that the submission of your application is successful. However, please note that receiving the e-mail does not imply your application are confirmed. Your application of visa documents will be confirmed after the organizing committee verifies that you are entitled to receive the documents. When the official documents are ready, it will be sent to you by express delivery service.

Photocopy of your passport is also required for the process. As soon as the required data and passport copy are received and the above conditions are confirmed, the Conference Secretariat will start the process of issuing the documents for you.
