Accommodation (operated by Kinki Nippon Tourist)
A block of rooms at neighboring hotel has been secured for the conference attendees. Accommodation can be booked through Online Application. Rooms are limited and are on a first-come first-serve basis.
Rates are available for 2 June to 6 June, 2018 inclusive. Nights outside these dates can be requested but cannot necessarily be guaranteed at the same rate.
50% of the accommodation fee will be charged together with the registration fee and tour fee after registration completed. Remaining 50% will be automatically charged to your designated credit card after you check in to the hotel.
Any incidental expenses such as phone calls and room services have to be paid when checking out.

Payment
All payments of Online Registration must be made in Japanese Yen (JPY) by credit card. For registration fee and optional social activity fee, credit card payment will be settled within one week after registration completed.

Confirmation
Attendees will receive a confirmation e-mail by the end of May, 2018. Please save this email as proof of your registration.
Change/Cancellation/Refund Policy

Your registration information cannot be changed online after May 23, 2018. Any change of registration information after 23 May, 2018 must be made in email to 2018 AGM Registration Desk (iuai2018@or.knt.co.jp). For cancellation after submission, it is required to inform 2018 AGM Registration Desk by email.
[Accommodation]
Your reservation cannot be changed online after 23 May, 2018. Any change or cancellation of the accommodation booking after 23 May, 2018 must be made in email to 2018 AGM Registration Desk (iuai2018@or.knt.co.jp).

The date and time of the change and cancellation will be based on the working hours [Monday through Friday 9:30am – 5:30pm (Japan time)] except the national holidays (3 March, 30 April, 3-4 May). After working hours, cancellation will be made next working day, which may incur charges.
Assistance of visa application
Attendees should check if you are required to apply a visa to enter Japan on the website of Minister of Foreign Affairs of Japan. If your country is not exempted from visa application on the above website, please kindly state your need of visa support on the online registration form.
Insurance
Please note that it is the responsibility of all attendees to take out full insurance to cover all expenses, including registration fee, in the event that they are unable to travel for any reason.
Requirements for Application
For accommodations, agreement is required for below 3 points before making online application:
1. Information related to accommodations will be all announced on this website. There will be no brochures or other items (instructions, contracts, etc.) sent through post.
2. Kinki Nippon Tourist Corporate Business Co., Ltd. and commissioned companies shall use personal information entered in the application form to contact the applicant, and shall also use the information within the scope necessary for arranging and providing the applied services.
